2025 KWKW Volunteer Requirements
It takes a lot of work to make a successful swim meet and we thank you for allotting the time out of your busy schedule to be an active part in the Kelliwood Swim Season. Please refer to our current meet schedule to ensure your availability.
KWKW requires each FAMILY to volunteer at swim meets for a total of 6 POINTS. The majority of roles are split into shifts throughout the meet allowing you to earn 2 points per meet. There are also a few roles to allow you to earn points that occur outside the regular meets. If your child qualifies for Meet of Champs or All Stars, you will need to volunteer for that meet as well, in addition to your 6 points. The practice meet is a good refresher and training opportunity (and we need you to volunteer!).
To be consistent within the WHALe
league, and fair to all families participating on KWKW swim team, we will again be enforcing a $350
penalization fee (billed to your card on file at the end of the season) if you
are unable to volunteer for the required 6 POINTS during the swim season. Please understand, we don’t want your money, we want your time.
**If your swimmer competes in the first duel meet of the season, you will be required to meet the 6 point volunteer requirement. This will ensure that we have enough volunteers to make sure the season runs smoothly and our kids have a great summer league swim experience.

Judges, Starter, Meet Officials, and Console Volunteering Training
When you sign up, you may notice that some jobs have a note besides them that says "Training Required". These jobs include stroke and touch turn judges, starters, meet director (aka referee) and console operator. Training is offered online by WHALe and the link to training will be e-mailed and announced as soon as it is available. We will also offer an in person training during a scheduled practice to help give a visual of swimmer violations. There is a deadline to complete the training to be eligible to perform the given role in a swim season. We strongly encourage you to become a swim judge; if we don’t have enough judges per meet from our team we face ramifications from the league.
The training is easy, but does take time to complete. There are also short check quizzes along the way. Coaches and trainers show you everything you need to know to be successful at your role. You also have the board and fellow parents who are willing to help you be successful at the volunteer position you sign up for.

When does sign-up open and how do I sign up to volunteer?
The volunteer coordinator will announce the date and time when sign up for volunteer positions will be available; sign up typically opens the day after the parent meeting. Sign up will be online at: https://kelliwoodswimteam.swimtopia.com > Current Events > Swim Meets > Job Signup. Please help make this year’s swim season a success!
How can I check my volunteer sign-ups and see how many points I have?
To check your points, go to the drop down at the top right of the homepage and select My Account. Jobs you signed up for will be shown. Make sure your total points is at least three. Note that to receive credit for your volunteering, you must sign-in at the swim meet and perform your role.
